Can you volunteer your time to help raise awareness and funds for STEPWAY?

We’re looking for enthusiastic people to join our team as community fundraising volunteers. There are lots of ways you can help including:

  • Placing, emptying and banking coin collection tins in restaurants, shops and your local community
  • Helping to run a fundraising and awareness stand at local events
  • Attending cheque presentations and thanking our supporters face-to-face
  • Giving short talks about STEPWAY and our work
  • Volunteering at collection days
  • Selling our Christmas cards
  • Volunteering at fundraising events and joining our cheering stations. 

Our community fundraising volunteers are part of a network across Worcestershire and the West Midlands – representing STEPWAY in their local areas and raising awareness of our work.

How to become a fundraiser for STEPWAY

Follow our five simple steps to help you fund raise for STEPWAY whether you’re running a marathon or holding a bake sale, serving up a curry or setting a quiz!

  • You can do absolutely anything to raise funds for STEPWAY, from organising a sponsored cycle ride to holding a black-tie ball!
  • Planning your event can take time, so the earlier you can start, the better! Think about a date early on
  • Do you need a venue? For a small party, your home or church hall could be perfect. If you need a larger or licensed venue, a school, pub or club may work. Let the venue know your event is for charity and they may be able to offer you a discount.
  • Don’t be shy to ask friends and family. Once you have your team of volunteers, give everyone a specific task, so that you’re not doing everything yourself.
  • Get in touch with your local STEPWAY office – they can share local knowledge, as well as help to publicise your event in your area.
  • Approach local businesses for raffle prizes or donations. You could offer them some free publicity in return. Contact us if you need an authorisation letter to use.
  • Decide how much you want to raise and set up a Crowd funding page with this target.
  • Think about how you can hit your target. If you’re organising a quiz or a concert, you might want to start selling tickets in advance or hold a raffle on the night to raise funds.
  • Keep careful track of money coming in and out so that you don’t spend more than you make. Try not to spend more than £1 for every £4 raised. Get in touch if you’d like advice before committing to any costs – we’re here to help!


Once your plans are in place, spread the word. The more people who know about your fundraising, the more money you can raise!

Fundraising ideas for your charity event


  • Abseiling – Abseiling is a thrilling, adrenaline-fuelled experience. Be brave and get sponsored for your vertical descent. 
  • Aerobics class – Set up an aerobics class and get friends and family to pay a donation to join. Raise funds whilst getting fit.
  • Afternoon tea – Tickets to an afternoon event are always popular and you can do extra fundraising at the event by having an auction.
  • Arts fair – Show off your artistic side and sell your goods to auction to raise funds for life saving research.


  • Bake sale – Get together with friends and set up a bake sale. Whether it’s at work or at a local venue, you can’t go wrong with tea and cake. [You can request to use our POSTER!].
  • Birthday – Donate your birthday! Ask your friends and family to donate to STEPWAY instead of giving you presents or buying you a pint.
  • BBQ – Rain or shine, everyone loves a BBQ. Invite friends, family, neighbours, and ask for a small donation in return for your event.
  • Bike ride – No matter how long you decide to cycle for, you’ll be helping to ride all over to support Veterans. You can also take part in our central bike ride. for more details contact us.
  • Bingo – There’s nothing like a bit of bingo for a little excitement and some healthy competition. Charge for tickets and ask around locally for donations you can give as prizes.
  • Busking – Once you have permission from your local authority and the right licence, all you need is some generous passers-by and you’re good to go.


  • Car boot sale -Set up a sale at your local car boot sale event and sell items that you don’t really want or need any more in exchange for cash to support veterans struggling to adapt to civilian life.
  • Challenge – Sign up to take part in a challenge event in a stunning location in the UK or overseas.
  • Coffee morning – A nice way to raise money collectively, a coffee morning with friends and family.

  • Dinner party – Ask guests for a donation up-front or send an envelope around at the end of the meal and ask everyone to donate what they would have paid in a restaurant for the meal.
  • Dinner dance – Kick up your heels for a great cause. 


  • Egg and spoon race – Race friends and family in this old school classic. 
  • Eighties evening – It’s all about neon clothes and disco tunes at this party.


  • Fashion show – Plan to showcase local fashion students’ work, or fashion from local boutiques.
  • Fancy dress day – Get sponsored to wear fancy dress for the day – the zanier, the better. If you’re wearing fancy dress at work, get your colleagues to cast their vote on what you should come in wearing – voting costs a small fee, and the money goes towards supporting our Veterans.
  • Five-a-side football tournament – A great fundraiser as a match between friends, or for something bigger ask everyone to enter teams of colleagues to turn it into a tournament. Raise funds by charging a player fee. 


  • Games night – Host an evening of games and challenges.  Add a bit of extra fundraising into the night by giving penalty fines for being late or talking about work.
  • Give something up – Can’t live without chocolate or your beloved glass of red with dinner? Why not donate the money you save from giving up your habit and set up a JustGiving page and get sponsored by friends and family for your hard efforts.
  • Golf challenge – Get your local golf club involved and hold a charity golf event.


  • Hiking – Raise money and tell people along the way about our charity. Plan your own walk with friends or take part in an event. 
  • Hug a pug – Take your dog to work for the day and ask for donations in return for a few minutes of play time and photos.


  • Indoor rowing – Set yourself a personal rowing challenge or have fun tackling the distance as a team with friends, family and colleagues.
  • International evening – Host a dinner party inspired by your favourite holiday destination and theme your menu, dress code and music for something different. 


  • Jumble sale – Have a clear out at home and raise money for Veterans struggling with their mental health.
  • JustGiving page – Set up your own fundraising page and share it with friends and family to collect donations quickly online. 


  • Karaoke – Always a classic, for friends who don’t mind being a bit silly in front of each other. It’s guaranteed to be fun.


  • Luncheon – Whether it’s a ‘ladies who lunch’ formal event or something simpler like a tea party at home.


  • Manicure and makeover – Host a pamper party and swap skills to give each other makeovers and manicures.
  • Marathon running – If you’re a budding athlete and have the aptitude to run 26.2 miles, then why not dedicate your event to raising money for STEPWAY? Getting sponsored will help you stay motivated and power you over the finish line.


  • Netball tournament – A great fundraiser as a match between friends or for something bigger, ask everyone to enter teams of colleagues to turn it into a tournament.


  • Office party – There’s plenty of ways to incorporate fundraising into an office event, whether it’s a bake sale, a dress-down day with  or a bucket of beans over your manager’s head.
  • Olympic sports day – Sign up for one of the schools events  use your fundraising pack to host your own sports day. Get everyone together for a day of fun, sports and raising money. 


  • Pancake party – Ask everyone to bring a donation and pancake topping of their choice, then treat everyone to as many pancakes as they can eat.


  • Quiz night – An easy one to host, whether it’s in a pub, church hall or at home. For an evening of relaxed entertainment, ask groups for an entry fee and find your quiz questions online.


  • Raffle – Ask around locally to drum up some donated prizes and sell off your tickets to friends, family and colleagues alike.

  • Talent show – Get friends, family and colleagues together for a talent show. Raise money through ticket sales to help fund courses for Veterans wanting to gain employment.
  • Treasure hunt – As big as you like or as simple as you like, this could be a race in groups across locations or something as simple as a grid map where you sell the squares to give people a chance of choosing the winning coordinates.

  • University challenge -Take on your local university for the challenge and invite students, friends and family to donate for tickets to the event.  Talk to the student union to see if they can help with the organising.


  • Variety show – A novel way of raising money and discovering talents you never knew your friends, colleagues and neighbours had.
  • Veggie feast – Host a vegan or vegetarian dinner party. Serve heart-healthy food and ask guests for a donation in return. Use our dinner party poster.


  • Walk – Gather a group of friends and pick your route to keep fit and raise money for Veteran’s mental health care.


  • X-Factor night – A singing competition if you want to go big, or if you fancy something smaller and more relaxed, a night in watching X Factor with a sweepstake to raise money.


  • Yodelling competition – A singing competition for the seriously brave.  If you’re looking for something unusual this is it.
  • Yoga-thon – If you’re a self-confessed yoga bunny, why not run your own yoga class and ask your pupils to contribute a small fee for taking part?


  • Ziplining – Whether you’re an adrenaline junkie or afraid of heights, get ready to face your fear. There are zip-lines across the UK that you can visit. Get friends and family to sponsor you for the challenge. 
  • Zumba-thon – If you’re feeling energetic and want a physical challenge that lots of people can take part in, this is a great way to raise sponsorship together.

Promote your event – top ten tips

1. Local networks

You’ll be amazed how generous people can be when you’re passionate about why you are raising funds for STEPWAY. Why not give a talk about your event in your school or workplace? Or write an article for our Fundraising blog page?

2. Posters

You do not have to be there in person to promote your event – use one of our posters and ask if you can put them up in your local shop, at work or your place of social. Your venue may also be able to display a poster or promote your event on their website.

3. JustGiving

One of the easiest ways to collect funds is through a Just Giving online sponsorship page. You can set up your page in a few easy steps and donations come through to us automatically. Set a fundraising target, personalise the page with photos and share it with friends!

4. Photos

Take lots of pictures before and during your event and share them on…

5. Facebook

Social networks are a great way to spread the word. Set up an event page and invite your friends to attend. Keep everyone updated by posting photos, updating your status and linking to your Just Giving page. 

6. Twitter

Include @Stepway in your tweets and we might give you a cheeky retweet!

7. Instagram

Tag friends, so they can share your photos.

8. Local newspapers and radio

Appearing in the local media is a great way of getting publicity and support. Contact your local newspaper and radio station to tell them what event you’re holding, when and where, and your reasons for choosing to support our work. Don’t forget to include your Crowd Funding page!

9. Email

If you send lots of emails for work or socialising, use your email signature to remind people about your event and include a link to your Just Giving page.

10. Blog it!

Write about your event in a blog – share your experiences as you plan for the big day, and update everyone on how much you’ve raised. Your local STEPWAY office may also be able to feature your story on their blog.

Make your event safe

Thank you for organising an event for STEPWAY. Read on to find out everything you need to know about ensuring your event is both fun and safe, from fire safety to First Aid. 

Do I need to complete a risk assessment?

It is always a good idea to complete a risk assessment for your events. This is to help you think through any potential risks and how you can take reasonable steps to mitigate them. If you’ve never done a risk assessment before please request an example risk assessments from STEPWAY

What health and safety issues do I need to consider for an indoor event?

Make sure you know where the fire exits are. Check that all entrances and exits are safe. If you are using equipment, ensure that the person operating it has read the manufacturer’s instructions. If you are using a kitchen check if there are any faults which might pose a risk.

What health and safety issues do I need to consider for an outdoor event?
  • Have a contingency plan or alternative venue in the event of severe weather.
  • In the event of hot weather advise attendees to wear sunscreen and appropriate clothing e.g. sun hat. Perhaps have some sunscreen available at the event for attendees to use.
  • If people are arriving by car, make sure you consider how to avoid congestion.
  • If your event involves the use of vehicles it is essential that organisers advise participants to take rest stops and plan journey timetables that recognise road safety, especially speed limits. 

Do I need a first aider at my event?
  • If you are running an event such as a fun run or bike ride you must have trained first aiders’ present. Organisations such as St John’s Ambulance and the Red Cross can help provide cover. 
  • For smaller events, such as a coffee morning, ensure that you have access to a First Aid kit. 
  • Check you know where the fire exits are and that they can be easily opened; make all attending the event aware of them.
What should I consider about fire safety?
  • Make sure you have a simple exit plan and assembly point in the case of a fire.
  • Check if the venue has fire extinguishers and if possible, have someone attend who knows how to use them. In the event of a fire, if there is no one present who can use a fire extinguisher, do not attempt to fight the fire. Exit the building calmly and call the emergency services (999).
  • If there is a fire and you exit the building, make sure you check that everyone is out of the building – make sure you check all rooms including the toilets.
  • Before the event, organisers should conduct a final check to ensure everything is in place, especially fire exits, first aid and equipment provisions.

Licences and permissions 

You may need to seek permission from your local authority for events such as street parties. Check below for information on different licences and permissions for venues as well as music and film licences. 

Do I need to obtain any permissions for my event?

Please check with your local authority if permission is required to hold your event. If the event is being held on private property or open access land organisers should seek permission from the landowners.

The maximum number of participants may be set by permissions/licences or local conditions. It is important to ensure that these numbers are not exceeded.

If your local authority or the landowner gives any relevant local guidance or site-specific information, please ensure that this is followed.

The Countryside Code in England and Wales must be observed by all.

What permissions do I need for film screenings?

If you are holding a film night outside your own home or the cinema, you will need a screening licence to ensure that you are not breaching any copyrights.  There are many independent film distributors in the UK which may offer a licence with the film that you are seeking, a good place to start is ‘Filmbank’ or ‘Dogwoof’.

Filmbank promotes the opportunities and the benefits of film screenings in every sector of the community as well as raising awareness of licensing issues. 

Dogwoof allows you to become an ambassador to show regular new-release documentary films in your area or show a film on your own terms through the ‘do-it-yourself’ section of their website.

Do I need permissions for festivals, street parties and public meetings?

Your local authority or police may have local bylaws, which require you to inform them if you are holding a public meeting or event or to gain a ‘public entertainments licence’. If you are unsure of anything, it is important that you get in touch with their licensing department as they will be able to advise you. It is a good idea to check with them, in case there are things you are unaware of.

What permissions do I need to play music?

If you play music at a public event you need a Music Licence to show that you have permission from the owners of that music. You can obtain a licence from The Performing Rights Society.

The following events do not need entertainment licences between the hours of 08:00 and 23:00:

  • performances of live amplified music for audiences
  • performances of live amplified music in licensed premises for audiences of up to 200 people
  • performances of plays and dance for audiences of up to 500 people
  • indoor sporting events for audiences up to 1,000 people

Other examples of performances that generally don’t need a licence are:

  • karaoke – between 08:00 and 23:00 in licensed premises for audiences of 200 or less if there is any amplification
  • incidental music – live music that is incidental to other activities
What do I need to bear in mind if I am running a raffle, bingo or roulette?

It is important to check that your raffle or fundraising activity abides by the following rules:

  • It must be run for charitable, sporting or cultural purposes
  • Proceeds must not be used for private gain
  • No more than a specified amount of money can be spent on purchasing prizes
  • No money prizes can be awarded
  • Tickets can only be sold during the event or entertainment and on the premises in which the event is being held
  • Is there anything I need to consider if I’m selling goods (e.g. at a jumble sale)?
  • Always check that anything being sold (e.g. toys) comply with relevant safety standards.
Food and drink 

Events like soup lunches and coffee mornings are great ways to have fun with friends and family while raising funds for STEPWAY’s work.

How can I ensure that food I serve at my event is safe?

Food hygiene certificates are not a legal requirement. If you are selling or handling food at a charity event, you need to do so safely. Here are some simple tips:

  • Wash your hands and any equipment you are using in hot soapy water
  • Keep food out of the fridge for the shortest time possible
  • Even if people are waiting to eat, don’t reduce cooking times
  • Always make sure food is properly cooked before you serve it
  • Keep raw and ready-to-eat foods apart
  • Do not use food past its ‘use by’ date
  • Know what is in the ingredients and display or provide information about allergens (e.g. provide a ’contains nuts’ label for cakes. Only label food as nut free etc. if you are 100% sure that this is the case
  • If you are unsure check the government’s catering advice for charity and community groups providing food.
Do I need a licence to sell alcohol at my event?

You need an alcohol licence from your local authority to sell alcohol at an event. You may also need a temporary event notice

If you are selling or providing alcohol, the local licencing laws apply. Age limits regarding the sale and consumption of alcohol must be adhered to.

Can I give away free alcohol at my event?

You can give alcohol away at events or meetings without a licence, but you must make it clear that the value of the alcohol is not included in any ticket price or entrance fee.

Collecting sponsorship and holding public collections 

If you want to hold a public collection or ask for sponsorship, there are a few important things to remember.

How can I collect sponsorship for STEPWAY?

If you would like people to sponsor you, please use the STEPWAY Sponsorship form. This form ensures that we treat data correctly and allows people to opt in or out of further communications from STEPWAY. We are unable to claim Gift Aid if the correct forms are not used.  

If you need to collect personal data during your event (e.g. names, email addresses) these must always be kept safe . You should not share personal details with others without permission.

What do I need to consider if I want to hold a collection?

Contact your local STEPWAY office for collection tins and stickers.

You will need to get different permissions depending on where you hold your collection.

  • If you are holding a collection on private property, for instance in a supermarket. you will need to get permission from the supermarket manager
  • If you are planning a collection on public land, for instance in a town centre, you will need to get permission from your local authority. This may include applying for a permit, so check your council’s website for details
  • Children under 16 should not be involved in collecting as part of a street collection

What should I consider when collecting and handling cash:

  • Have a secure place to keep the cash e.g. a lockable cash box.
  • Do not leave cash unattended.
  • When counting cash have another person with you to verify and witness the amount. You should record the details of your cash count and both sign it.

How do I pay the money I’ve raised to STEPWAY?

•Make sure you break the seal on your collection tin with somebody else and ask them to count the cash you have collected.

•Once you have the cash counted, the simplest way to send your funds to STEPWAY is to first pay them into your own bank account then transfer it to our Just Giving account or in person at the bank •

•Please remember to send an email to after banking funds so we can send you a thank you letter and give you a mention on website/media platforms. Please include a cover note with your name and when and where you held your collection.

•Remember to send your sponsorship form, collection envelopes or Gift Aid declaration slips so that we can claim any applicable Gift Aid as well.

•Please do not send us cash through the post! We want to make sure all your donations go to our projects that help veterans and cash sent in this way too often gets lost.

•When you have finished with your collection tins, please send them back to our office. We can send them out with new seals so that other supporters can hold collections with them.

•If you have any questions or queries about paying in the money you have raised, please call STEPWAY for advice

If you ask donors to complete their details and tick the Gift Aid box on any sponsorship forms or donation envelopes you use, we can receive extra funds from the government. For example, if you Gift Aid a donation of £20, we receive £25 in total. Please send completed sponsorship forms and collection envelopes to us, even if you pay over the phone.
